Job Description and Key Responsibilities

The Administrative Assistant will be assigned to the Residence department, a critical unit responsible for managing housing and accommodation logistics for the company's workforce. The core responsibilities for this role will likely include:

  • Administrative Support: Providing comprehensive administrative support to the Residence team, including file organization, correspondence management, and preparation of reports and documents.
  • Communication Management: Handling internal (from employees) and external (from vendors or government entities) inquiries related to residence and accommodation matters.
  • Task Coordination: Assisting in coordinating the allocation of housing units, maintenance work, and resolving issues related to company-provided accommodation facilities.
  • Follow-up and Documentation: Tracking housing contracts and ensuring the renewal of required documents such as residence permits and related insurances, in coordination with relevant departments.
  • Logistical Support: Assisting with travel and temporary hotel arrangements for new joiners or visitors as needed, linking these to permanent accommodation arrangements.
  • Meetings and Reporting: Attending meetings, taking minutes, and preparing presentations or periodic reports on department activities.

Required Qualifications and Skills

To be a successful candidate for this position, you are expected to meet the following criteria:

  • Educational Qualification: A diploma or bachelor's degree in Office Administration, Business Administration, or a related field.
  • Experience: Proven previous experience in administrative work or office assistance, with a minimum of 2 to 4 years. Experience in industrial environments or housing/facility management is a strong advantage.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of document management systems and databases.
  • Personal Skills:
    • Excellent written and verbal communication skills in both Arabic and English.
    • High level of organization, priority management, and ability to meet deadlines.
    • Strong attention to detail and accuracy in task execution.
    • Ability to work collaboratively within a team as well as independently.
    • Problem-solving skills and flexibility in handling multiple tasks.
  • General Requirements: Applicants must possess a valid residence permit in Qatar (for residence-targeted jobs) and be legally eligible to work in the country.
