The Complex Reservations Agent will play a pivotal role within the reservations department, responsible for managing, receiving, and processing specialized and complex booking requests that go beyond standard individual reservations. Key Expected Responsibilities:
- Managing Complex Bookings: Handling reservation requests for groups, delegations, small events, large families, and peak-season bookings.
- Coordinating Client Requirements: Communicating directly with clients or travel agents to accurately understand their specific needs, such as adjoining room requests, unusual arrival/departure schedules, or requests tied to specific occasions.
- Internal Collaboration: Acting as a liaison between the client and various hotel departments like front office, food and beverage, and meetings & events to ensure all details are executed accurately.
- Accuracy in Pricing and Details: Accurately calculating rates for complex bookings, applying agreed-upon discounts or special offers, and generating preliminary invoices.
- Exceptional Customer Service: Providing a seamless and professional booking experience for clients dealing with complex arrangements, thereby enhancing the hotel's reputation and meeting guest expectations.
- Utilizing Reservation Systems: Full proficiency in global hotel reservation systems (such as Marriott's PMS) to input, update, and track data with high accuracy.
- Follow-up: Tracking complex bookings until the arrival date, ensuring all departments are prepared to host the guests according to the specified requirements.
Requirements and Qualifications

Essential Qualifications:
- Previous Experience: Proven experience of at least 1-2 years in hotel reservations or customer service within the hospitality sector, with preference given to those with experience handling group or complex bookings.
- Technical Skills: Practical knowledge of Property Management Systems (PMS) and basic computer software like the Microsoft Office suite.
