Job Description
The appointed Document Controller will be entrusted with a range of vital tasks and key responsibilities, including:
- Central Document Management: Receiving, registering, distributing, and storing all incoming and outgoing project or department documents electronically and in hard copy as needed.
- Version Control: Ensuring all working teams are using the latest version of drawings, reports, contracts, and specifications. This involves updating transmittal records and tracking changes meticulously.
- Maintaining Document Management Systems: Organizing and arranging files in a systematic way that facilitates quick and easy retrieval of any document. This may involve using specialized Electronic Document Management Systems (EDMS).
- Quality Assurance and Compliance: Verifying that all documents meet the company's internal standards and client requirements before distribution. Maintaining the confidentiality of sensitive information.
- Coordination and Support: Acting as a liaison between different departments (engineering, procurement, site, management) regarding project documentation. Providing logistical support in preparing tender documents and reports.
- Archiving: Overseeing the secure and organized archiving of final project documents for future reference.
Requirements and Qualifications
To be eligible for this opportunity, you should meet the following criteria:
- Educational Qualification: A diploma or bachelor's degree in a relevant field such as Office Management, Information Technology, or a similar discipline.
- Experience: A minimum of 2-3 years of prior practical experience in a similar role as a Document Controller or Records Officer, preferably within the construction, engineering, or oil & gas sectors.
- Technical Skills:
- Excellent proficiency in Microsoft Office Suite (especially Excel and Word).
- Practical knowledge of Electronic Document Management Systems (EDMS) like Aconex, Documentum, or similar is a significant advantage.
- Superior organizational skills and a strong attention to detail.
- Personal Skills:
- Ability to work under pressure and handle busy periods.
- Effective written and verbal communication skills in both Arabic and English.
- Reliability and the ability to handle confidential information with high sensitivity.
- Ability to work both as part of a team and independently.
