  • Managing Electronic and Physical Filing Systems: Maintaining an organized and easily retrievable archival system, both digital (e.g., Document Management Systems - DMS) and physical, to ensure information integrity and security.
  • Updating Distribution Lists and Registers: Accurately managing and updating document tracking records, including document versions, review status, and distribution parties.
  • Supporting Teams and Projects: Working closely with various departments (such as Engineering, Projects, Administration) to meet their documentation needs and facilitate smooth information flow.
  • Reporting: Preparing periodic reports on document status and management activities for line supervisors.

Qualifications and Essential Requirements

To be a suitable candidate for this role, you should meet the following criteria:

  • Educational Qualification: A diploma or bachelor's degree in a relevant field such as Office Management, Information Management, Information Technology, or a similar discipline.
  • Work Experience: Proven previous experience in a Document Controller role or a similar document management position. Experience in project environments, engineering, or construction sectors is preferred.
  • Technical Skills:
    • Excellent proficiency in Microsoft Office Suite (especially Word, Excel, Outlook).
    • Practical experience using Electronic Document Management Systems (EDMS) like Aconex, Documentum, or SharePoint (will be a strong added advantage).
    • Strong understanding of document control procedures and archiving standards.
  • Personal Skills:
    • High accuracy and strong attention to detail.
    • Excellent organizational, time management, and administrative skills.
    • Ability to handle large volumes of information and documents under time pressure.
    • Good communication skills in both Arabic and English.
    • Ability to work independently as well as collaboratively within a team.
