Job Description and Key Responsibilities

The Document Controller will be placed within the Administration or Operations department, playing a pivotal role in ensuring the efficient and smooth management of the company's vital document flow. The core responsibilities expected for this position include:

  • Overseeing Document Lifecycle: Receiving, registering, distributing, and archiving all internal and external documents (such as contracts, invoices, financial reports, compliance documents, and customer correspondence) in accordance with established policies and procedures.
  • Ensuring Accuracy and Completeness: Reviewing incoming and outgoing documents to verify their correctness, completeness of required information, and adherence to specified standards and terms.
  • Managing Electronic and Paper Filing Systems: Maintaining an organized and easily retrievable filing system, both digital and physical, to ensure secure and prompt access to documents when needed.
  • Controlling Versions and Updates: Tracking document versions and changes, ensuring all relevant parties are working with the latest approved copy.
  • Supporting Audit and Compliance Processes: Assisting in preparing required documentation for internal and external audits, and ensuring document management complies with local regulatory requirements (such as the Central Bank of the UAE) and company internal policies.
  • Interdepartmental Collaboration: Working closely with various departments like Finance, Operations, Human Resources, and Compliance to fulfill their documentary needs.
  • Maintaining Confidentiality: Upholding the highest standards of confidentiality and security for sensitive financial information handled.

Job Requirements and Qualifications

To be a successful candidate for this position in Dubai, you should meet the following criteria:

  • Educational Qualification: A diploma or bachelor's degree in Business Administration, Office Management, or a related field.
  • Work Experience: Proven previous experience of at least 2-3 years in document control or records management, preferably within the financial services, exchange, banking, or service companies with a strict regulatory environment.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (especially Excel and Word). Knowledge of Electronic Document Management Systems (EDMS) like SharePoint or others is a significant advantage.
  • Personal Skills:
    • High level of accuracy and strong attention to detail.
    • Superior organizational and administrative skills.
    • Ability to manage priorities and work under pressure to meet deadlines.
    • Good written and verbal communication skills in both Arabic and English.
