Orville Real Estate LLC is currently recruiting for a Facilities Coordinator to join its team in Dubai, United Arab Emirates. This position is a critical operational role responsible for ensuring the seamless and efficient day-to-day functioning of the facilities and buildings managed by the company within Dubai's dynamic and evolving real estate market.
Job Overview
The Facilities Coordinator will hold a pivotal position within the operations team, acting as the primary point of coordination and oversight for all activities related to the maintenance and servicing of Orville Real Estate's owned or managed facilities. This role aims to uphold the highest standards of safety, functionality, and aesthetics across properties, directly impacting tenant satisfaction, customer experience, and asset value.
Key Responsibilities and Duties
- Maintenance Oversight: Coordinate with in-house maintenance teams and external contractors to execute preventive and corrective maintenance works for buildings and systems (HVAC, electrical, plumbing, etc.).
- Vendor & Contractor Management: Source reliable vendors and contractors, negotiate contracts and service agreements, and monitor work quality to ensure compliance with specifications, timelines, and budgets.
- Safety & Compliance: Ensure all facilities comply with local Dubai health, safety, and environmental regulations. Verify that fire alarm systems, firefighting equipment, and emergency exits are fully operational at all times.
- Request & Complaint Management: Receive maintenance requests and complaints from tenants or end-users, prioritize them, dispatch them to the appropriate party, and follow up until full resolution.
- Monitoring & Evaluation: Conduct regular facility inspection rounds to assess conditions, identify needs for refurbishments or upgrades, and prepare detailed reports for management.
- Inventory & Procurement Management: Monitor stock levels of maintenance materials and equipment, and raise purchase orders within the allocated budget.
- Logistical Support: Coordinate logistical services such as cleaning, waste management, security, and landscaping to ensure a clean, safe, and presentable work and building environment.
Required Qualifications and Skills
- Educational Background: A Bachelor's degree in Engineering (Civil, Mechanical, Electrical), Facilities Management, or a related field. Significant proven experience may be considered in lieu of a formal degree.
- Experience: Minimum 3-5 years of experience in a similar role (Facilities Coordinator, Maintenance Supervisor, etc.) within the real estate or facilities management sector. Experience in the Dubai real estate market is a strong advantage.
- Technical Skills: Practical knowledge of Building Management Systems (BMS), engineering maintenance works, and the ability to read technical drawings.
- Soft Skills:
- Excellent communication and interpersonal skills (Arabic & English).
- Strong organizational and priority management abilities in a fast-paced environment.
- Negotiation skills and the ability to manage supplier relationships.
- Proactive problem-solving and decision-making capabilities.
- Good working knowledge of Microsoft Office applications (Word, Excel).
