Job Description and Responsibilities
The Medical Records Assistant will play a pivotal role in the administrative and medical services department, focusing on maintaining the records system with high efficiency. Key responsibilities include:
- Organizing and Managing Files: Maintaining a precise organizational system for both paper-based and electronic patient files, ensuring they are correctly classified, indexed, and stored for quick retrieval.
- Data Entry and Retrieval: Accurately entering patient medical information, appointment schedules, and other data into designated computer databases. This also involves retrieving requested information from records as required by doctors or administration.
- Ensuring Accuracy and Confidentiality: Verifying the completeness and accuracy of all incoming and outgoing medical documents. Strict adherence to patient data privacy and confidentiality policies, in compliance with local regulations such as Dubai's privacy law.
- Team Support: Providing administrative support to various hospital or clinic departments by supplying requested records in a timely manner and facilitating the flow of information.
- Assisting with Archiving: Participating in the archiving of old records according to established policies, as well as the secure disposal of expired records while maintaining full confidentiality.
- Communication: Collaborating effectively with doctors, nurses, administrative staff, and other healthcare team members to meet information needs.
Required Qualifications and Skills
To be a successful candidate for this position, you should meet the following criteria:
- Educational Qualification: A diploma or certificate in Medical Records, Health Information Management, or any related administrative field. Candidates with a high school diploma and sufficient relevant experience may be considered.
- Experience: Previous experience of 1 to 3 years in medical records or an administrative role within a healthcare facility. Experience within the UAE or Gulf healthcare system is a distinct advantage.
- Technical Skills: Good proficiency in Microsoft Office Suite (especially Excel and Word). Knowledge of Health Information Systems (HIS) or Electronic Medical Records (EMR) software is a significant plus.
- Personal Skills:
- Strong attention to detail and accuracy in work.
- Excellent organizational and administrative skills.
- Ability to handle sensitive information with utmost confidentiality and professional ethics.
- Good communication skills (verbal and written) in both Arabic and English.
- Ability to work within a team and in a fast-paced environment.
- Additional Requirements: Applicants must have a valid UAE residence visa (for current residents) or be ready to relocate to Dubai.
