Job Description & Key Responsibilities
The employee in this role will occupy a pivotal position, providing support to senior management while contributing to the smooth operation of sales and logistics functions. Given the hybrid nature of the role, responsibilities will encompass a blend of administrative and operational coordination tasks.
Core Responsibilities as a Personal Assistant:
- Provide comprehensive administrative support to executive management, including scheduling appointments, managing calendars, and organizing meetings.
- Handle incoming and outgoing communications with a high degree of professionalism (phone, email, correspondence).
- Prepare, edit, and format documents, presentations, and periodic reports.
- Arrange travel and accommodation requirements for the management team.
- Maintain an effective filing and archiving system for both electronic and physical documents.
Core Responsibilities as a Sales & Logistics Coordinator:
- Coordinate and support the sales team in lead follow-up, quotation, and contract preparation.
- Act as a liaison between the sales team and the company's clients, ensuring an exceptional customer experience.
- Coordinate with transportation and logistics vendors to ensure timely delivery of goods.
- Track shipments, update tracking systems, and provide status reports on shipments.
- Assist in managing key logistics documentation such as shipping invoices, bills of lading, and customs documents.
- Collaborate with warehouse and treasury departments to ensure alignment between sales and supply.
Required Qualifications & Skills
XYZ Middle East FZE is looking for proficient candidates capable of thriving in a fast-paced environment. The core requirements include:
- Educational Qualification: A Bachelor's degree in Business Administration, Marketing, Supply Chain, or a related field.
- Experience: A minimum of 2-3 years of proven experience in a similar role combining administrative duties with sales or logistics support. Experience in the UAE or GCC market is a distinct advantage.
- Personal Skills:
- Excellent written and verbal communication skills in both English and Arabic.
- High level of organization and attention to detail with the ability to manage multiple priorities.
- Proactive initiative and problem-solving abilities.
- Ability to work independently and as part of a team.
- Flexibility and adaptability in a changing work environment.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (especially Excel and PowerPoint). Knowledge of Enterprise Resource Planning (ERP) or Customer Relationship Management (CRM) systems is a significant plus.
