Job Description & Key Responsibilities

The Private Secretary will be responsible for providing direct administrative and executive support to the company's senior management. The role will focus on ensuring the smooth and efficient operation of daily activities. Core responsibilities for this position are expected to include:

  • Schedule Management: Efficiently organizing and coordinating appointments, meetings, phone calls, and events for senior executives, with careful attention to priorities.
  • Correspondence Handling: Managing incoming and outgoing email and correspondence, responding to general inquiries, and preparing simple reports and presentations.
  • Travel & Logistics Arrangements: Planning and coordinating all aspects of domestic and international travel for management, including booking flights, hotels, and transportation.
  • Meeting Coordination: Preparing for meetings by arranging agendas and necessary materials, taking minutes, and following up on action items.
  • Information & Document Management: Maintaining an organized and swift filing system for sensitive documents and ensuring the confidentiality of information.
  • Communication & Liaison: Acting as a point of contact between senior management and internal staff, clients, and external partners, providing a professional interface.
  • General Administrative Duties: Performing various other administrative tasks as required to support departmental workflow.

Qualifications & Essential Requirements

To be a successful candidate for this role, you should meet the following criteria:

  • Educational Background: A Bachelor's degree in Business Administration, Office Management, or a related field. Specialized certifications in Executive Secretarial studies are a plus.
  • Work Experience: A minimum of 3 to 5 years of proven experience as an Executive Secretary or Private Secretary, preferably within an investment firm, financial institution, or multinational corporate environment.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of Office Management Systems is desirable.
  • Personal Skills:
    • Exceptional verbal and written communication skills in both Arabic and English.
    • High level of organization, priority management, and ability to work under pressure.
    • Discretion, reliability, and the ability to handle confidential information with utmost integrity.
    • Proactive thinking and problem-solving abilities.
    • Professional appearance and demeanor.
  • Other Requirements: Applicants must possess a valid residency permit for the Sultanate of Oman.
