A leading and reputable player in the Heating, Ventilation, and Air Conditioning (HVAC) products and systems market in Qatar is seeking to hire a Sales Coordinator for its operations in the Western area (Rayyan) of Doha. Job Description and Key Responsibilities

The Sales Coordinator will be the linchpin in supporting the sales team to ensure smooth and efficient operations. The core responsibilities of this role include:

  • Sales Team Administrative Support: Preparing quotations, proposals, initial contracts, and purchase orders related to HVAC products.
  • Sales Coordination: Acting as a central point of contact between sales representatives and existing/potential clients, as well as between the sales department and warehouse or logistics teams.
  • Customer Service: Responding professionally to customer inquiries via phone and email, providing basic product information, and following up on orders to ensure customer satisfaction.
  • Data and Document Management: Maintaining accurate and up-to-date customer databases and sales files. Organizing and archiving all documentation related to deals and transactions.
  • Assistance in Proposal Preparation: Gathering required technical information and catalogs from the engineering department or suppliers to assist the sales team in preparing their offers.
  • Follow-up: Tracking submitted proposals with the sales team to update the pipeline status and convert opportunities into confirmed sales.
  • Reporting: Assisting in the preparation of periodic sales reports on activities and key metrics.

Qualifications and Essential Requirements

To be a successful candidate for this role, you should meet the following criteria:

  • Education: A Diploma or Bachelor's degree in Business Administration, Marketing, or a related field.
  • Experience: Proven work experience of at least 2 to 3 years in a Sales Coordinator, Sales Assistant, or sales administration role. Experience in the HVAC, building materials, or technical/engineering products sector is a significant advantage.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (especially Excel, Word, and PowerPoint). Knowledge of ERP systems or Customer Relationship Management (CRM) software like Salesforce is a strong plus.
  • Soft Skills:
    • Exceptional written and verbal communication skills in both Arabic and English.
    • High level of organization and accuracy with strong attention to detail.
    • Ability to manage multiple priorities and work under pressure to meet deadlines.
    • Excellent customer service skills and a positive attitude.
    • Ability to work collaboratively within a team as well as independently.
  • Other Requirements: The applicant must possess a valid residence permit in Qatar and be able to transfer sponsorship if required.
