Job Description and Key Responsibilities

The Warranty Administrator will hold the central responsibility for managing and executing all processes related to product or service warranties offered by the company. They will act as a vital link between the company, customers, distributors, and suppliers regarding warranty matters. Key responsibilities include:

  • Processing Warranty Claims: Receiving, reviewing, and evaluating warranty claims submitted by customers or service centers to ensure they meet the stipulated warranty terms and conditions.
  • Eligibility Verification: Confirming that the product or service is covered under warranty, that the warranty period is valid, and checking for any required actions or additional terms.
  • Documentation and Follow-up: Accurately recording details of each claim in the company's systems and tracking its progress through to final resolution (repair, replacement, or denial).
  • Internal Coordination: Working closely with technical service, warehouse, accounting, and sales departments to facilitate the execution of warranty decisions.
  • Customer Service: Professionally and courteously responding to customer inquiries regarding warranties, clarifying policies and procedures.
  • Reporting: Preparing periodic reports on warranty claim statistics, common causes, and the status of pending claims for management review.
  • Compliance: Ensuring full compliance with the company's internal warranty policies and procedures, as well as any relevant local regulations.

Qualifications and Requirements

To be a successful candidate for this role, you should meet the following criteria:

  • Educational Background: A diploma or bachelor's degree in Business Administration, Accounting, Office Management, or a related field.
  • Experience: A minimum of 2-3 years of prior practical experience in warranty administration, customer service within a retail or industrial environment, or a similar administrative role. Experience in large trading companies or the durable goods sector is a significant advantage.
  • Technical Skills:
    • Excellent proficiency in Microsoft Office programs (especially Excel).
    • Ability to quickly learn new software, Customer Relationship Management (CRM) systems, and internal warranty management systems.
  • Personal Skills:
    • Excellent written and verbal communication skills in both Arabic and English.
    • High accuracy and attention to detail in processing data and documentation.
    • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
    • Strong analytical and problem-solving skills for decision-making.
    • Team spirit and the ability to collaborate with multiple departments.
    • Integrity and reliability in handling sensitive information.
