Administration Assistant - Emirates SkyCargo (Dubai)

The company is seeking a qualified Administration Assistant to join its dynamic team at its headquarters in Dubai.

As an Administration Assistant within this division, you will play a central role in supporting day-to-day administrative operations, contributing to the smooth functioning of one of the world's most advanced air cargo operations.

Job Description & Key Responsibilities

In this role, you will be responsible for a range of administrative and support tasks that maintain office efficiency and workflow. Expected responsibilities include:

  • Administrative & Organizational Support: Providing comprehensive administrative support to the SkyCargo team, including schedule management, meeting coordination, and preparing minutes and reports.
  • Correspondence & Communications Management: Handling incoming and outgoing mail, responding to phone and email inquiries professionally, and acting as a liaison between different departments.
  • Document Processing: Data entry, maintaining accurate paper and electronic filing systems, and preparing work documents such as invoices, contracts, and requisitions.
  • Procurement & Logistics Support: Assisting with office supply requisitions, following up on purchase orders, and coordinating with procurement and warehouse departments.
  • Logistical Arrangements: Assisting with travel and accommodation arrangements for team members when needed, and coordinating meeting room bookings.
  • Basic Financial Tasks: Assisting in the preparation of basic financial claims and expenses in accordance with company policy.

Qualifications & Key Requirements

To be a successful candidate for this position, you should meet the following criteria:

  • Educational Qualification: A diploma or university degree in Office Administration, Business Administration, or a related field.
  • Work Experience: Proven previous experience in an administrative or assistant role, preferably within a fast-paced environment such as aviation, logistics, or a multinational corporation.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Knowledge of document management systems and databases is an added advantage.
  • Personal Skills:
    • Excellent written and verbal communication skills in both English and Arabic (required).
    • High level of organization and accuracy with strong attention to detail.
    • Ability to manage priorities and work under pressure to meet deadlines.
    • Team spirit and the ability to work collaboratively with colleagues from diverse backgrounds.
    • Initiative, reliability, and a high degree of professionalism.
