The employee in the Office Assistant position will play a pivotal role in ensuring the smooth and efficient daily operations of the office. Key responsibilities include:
- Administrative Support: Providing comprehensive support to management and staff, including organizing meetings, managing calendars, and preparing documents and presentations.
- Correspondence Management: Receiving and distributing incoming and outgoing mail, and responding to phone and email inquiries professionally.
- Filing System Organization: Maintaining an organized electronic and paper filing system to ensure easy retrieval of important documents and records.
- Assistance in Report Preparation: Assisting in data collection and preparation of periodic administrative reports.
- Logistical Coordination: Arranging travel and accommodation schedules for administrative personnel when needed, and coordinating visitor reception.
- Supplies Management: Ensuring the availability of all office supplies and organizing the ordering and inventory process.
- Team Support: Acting as an effective liaison between different departments to enhance communication and collaboration.
Qualifications and Key Requirements
To be a successful candidate for this position, you must meet the following criteria:
- Educational Qualification: A diploma or bachelor's degree in Office Administration, Business Administration, or any related field.
- Experience: Previous practical experience of at least 1-2 years in administrative tasks or as an office assistant. Experience in a service or consulting company environment is an added advantage.
- Technical Skills:
- Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Good skills in using printers, copiers, and fax machines.
- Knowledge of electronic file management systems.
- Personal Skills:
- Excellent verbal and written communication skills in both Arabic and English.
