Job Description and Responsibilities
The appointed Procurement Officer will be part of the company's Procurement and Supply department, responsible for a range of core tasks that support efficient and effective company operations. Key responsibilities include:
- Managing Purchase Processes: Executing daily procurement activities for materials and services required for facilities management operations, ensuring compliance with company policies and procedures.
- Supplier Sourcing and Evaluation: Identifying new suppliers and evaluating proposals from both existing and potential vendors based on criteria such as quality, price, reliability, and after-sales service.
- Document Preparation and Review: Preparing and reviewing Requests for Quotation (RFQs), Purchase Orders (POs), and procurement contracts for accuracy and completeness.
- Negotiations: Negotiating with suppliers to secure the best commercial terms, including pricing, delivery schedules, and payment conditions.
- Supplier Relationship Management: Building strong working relationships with suppliers and monitoring their performance to ensure contractual obligations are met.
- Inventory and Cost Monitoring: Assisting in monitoring inventory levels and working to optimize procurement processes to reduce costs and increase efficiency.
- Internal Coordination: Working closely with other departments such as Operations, Finance, and Projects to identify needs and ensure their requirements are met in a timely manner.
- Reporting: Preparing regular reports on procurement activity and key performance indicators (KPIs) for senior management.
Requirements and Qualifications
To qualify for this role, you should meet the following criteria:
- Educational Qualification: A Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field.
- Experience: A minimum of 3 to 5 years of practical experience in procurement or purchasing, preferably within the facilities management, construction, or related industries.
- Technical Skills: Proficiency in computer software, especially the Microsoft Office suite, with knowledge of Enterprise Resource Planning (ERP) systems for procurement.
- Personal Skills:
- Excellent communication and negotiation skills in both Arabic and English.
- Ability to work under pressure and meet challenges.
- Accuracy and strong attention to detail.
- Strong analytical skills for evaluating proposals and making decisions.
- Ability to work both as part of a team and independently.
- Knowledge: A solid understanding of procurement principles and supply chain best practices.
