As part of this effort, they are currently recruiting for a Crew Coordinator to be based at their headquarters in Doha.

Job Description and Key Responsibilities

The Crew Coordinator will occupy a pivotal role within the Human Resources or Operations management team, responsible for the seamless coordination of all crew-related matters. The key responsibilities for this position are expected to include:

  • Logistical Coordination: Managing and organizing crew travel to and from vessels, including arranging flight tickets, ground transportation, and hotel accommodations in line with company policy and urgent operational requirements.
  • Documentation and Permit Management: Ensuring all required documents for crew members are completed and ready, such as passports, visas, medical certificates, seafarer certifications (STCW), and any other necessary work permits. Maintaining and updating these records regularly.
  • Central Communication: Acting as a key liaison point between shore-based management, crew members on vessels, and external marine agencies, contractors, and suppliers involved in crew affairs.
  • Administrative Support: Processing crew requests, answering inquiries, and providing necessary support throughout their contract period. This also includes assisting with crew-related health and safety arrangements.
  • Tracking and Reporting: Maintaining accurate and standardized records for all crew members, preparing periodic reports on crew status, rotation schedules, and any logistical issues or challenges for relevant management.
  • Compliance: Ensuring all crew coordination activities comply with international maritime regulations, local Qatari labor laws, and the company's internal policies.

Qualifications and Essential Requirements

To be a successful candidate for this role, you should meet the following criteria:

  • Educational Background: A Bachelor’s degree in Business Administration, Maritime Studies, Logistics, or a related field. Significant and proven practical experience in a similar field may be considered in lieu of a formal degree.
  • Work Experience: A minimum of 3 to 5 years of experience in a similar role (as a Crew Coordinator, Marine Logistics Coordinator, or Personnel Officer) within the shipping, maritime transport, or major logistics industry. Experience in a Gulf Cooperation Council (GCC) environment is a strong advantage.
  • Personal and Professional Skills:
    • Exceptional organizational and administrative skills with the ability to multitask in a fast-paced environment.
    • Excellent verbal and written communication skills in both Arabic and English.
    • Strong proficiency in Microsoft Office Suite (particularly Excel and Word).
    • Ability to work under pressure and solve problems proactively.
    • Attention to detail and accuracy in data and document management.
    • Familiarity with online travel booking systems.
