Job Overview

The Receptionist Cum Secretary role is a cornerstone of daily operations in any professional firm, serving as the first point of contact and playing a pivotal role in supporting management and office coordination. Key Expected Duties and Responsibilities

  • Front Desk Management: Greeting visitors, guests, and clients in person and over the phone in a courteous and professional manner, ensuring their comfort, and notifying relevant staff of their arrival.
  • Handling Communications: Answering incoming calls, directing them accurately to the appropriate parties, and taking detailed messages when necessary.
  • Secretarial & Administrative Support: Providing administrative support to the management team or other departments, which may include scheduling appointments, preparing basic correspondence and documents, and organizing files.
  • Maintaining Office Environment: Keeping the reception and common areas tidy and organized, and ensuring basic office supplies are available.
  • Mail Handling: Receiving, sorting, and distributing daily mail and deliveries.
  • Internal Coordination: Acting as a liaison between staff and management, conveying important information effectively.

Required Qualifications and Skills

  • Educational Background: A diploma or university degree in administrative fields, secretarial studies, or equivalent is an advantage.
  • Experience: Previous experience in receptionist, secretarial, or administrative support roles. Experience in the corporate or financial services sector is preferred.
  • Personal Skills:
    • Excellent verbal and written communication skills in both Arabic and English.
    • Professional appearance, politeness, and a pleasant demeanor.
    • Confidence and professionalism in dealing with the public.
    • Strong organizational skills, attention to detail, and time management.
    • Ability to handle multiple tasks in a fast-paced environment.
    • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook).
