Job Description
The Document Controller will be integrated into the project management team, playing a pivotal role in ensuring the efficient and effective flow of documentary information. Accurate document control is critical to the success of any major construction or development project, and you will be at the heart of our operations.
Key Responsibilities:
- Document Management System Oversight: Administer a comprehensive Electronic Document Management System (EDMS) for all project documents, including drawings, reports, correspondence, and contracts.
- Workflow Monitoring: Receive, register, distribute, and track all incoming and outgoing documents to and from clients, contractors, consultants, and the internal team.
- Quality Control: Ensure all documents comply with specified standards, coding frameworks, and approval procedures before distribution.
- Record Keeping: Maintain accurate and up-to-date records of all document versions, ensuring easy retrieval and security.
- Reporting: Generate regular reports on document status, deliverables, and any potential delays to inform the Project Manager and stakeholders.
- Administrative Support: Provide administrative support to the team regarding document needs and project meetings.
- Compliance: Ensure compliance with all company policies, project procedures, and relevant regulatory requirements for document management.
Requirements and Qualifications
Turner & Townsend is looking for motivated, detail-oriented candidates who can demonstrate experience in a fast-paced project environment.
Essential Qualifications:
- A Bachelor's degree in a relevant field (Management, Engineering, Technology) or an equivalent technical qualification.
- Proven practical experience of 3 to 5 years in a Document Controller role, preferably within the construction, infrastructure, or real estate development sector.
- Strong proficiency in Electronic Document Management Systems (EDMS) such as Aconex, Asite, ProjectWise, or similar platforms.
- Excellent skills in Microsoft Office Suite (Word, Excel, Outlook).
- In-depth understanding of document lifecycles and review/approval procedures.
- Exceptional organizational and administrative skills with the ability to manage multiple priorities and meet deadlines.
- Meticulous attention to detail and accuracy.
Preferred Skills:
- Previous experience working with global consultancy firms or on major government projects.
- Knowledge of procurement and contracting processes.
- Ability to work effectively in a multi-cultural team environment.
- Strong communication skills, both verbal and written.
