Job Overview

The successful candidate will serve as the backbone for administrative and procedural support within the relevant department. Key Responsibilities & Duties

  • Communications: Handling phone calls, incoming messages, and correspondence (email, letters) with high professionalism, and directing them appropriately.
  • Document Management: Drafting, reviewing, and editing documents, reports, and presentations. Maintaining electronic and paper files and records in an organized, easily retrievable system.
  • Administrative Support: Assisting with travel and accommodation arrangements for staff. Managing office supplies and ensuring their availability. Receiving visitors and providing logistical support for internal events or meetings.
  • Coordination: Acting as a liaison between different departments, facilitating the flow of information. Coordinating with external suppliers or clients as needed.
  • Routine Tasks: Performing other routine administrative duties as assigned to ensure workplace efficiency.

Required Qualifications & Skills

  • Education: A diploma or bachelor's degree in Office Management, Business Administration, or a related field.
  • Experience: Proven previous experience in a secretarial or administrative assistant role, typically ranging from 1 to 3 years. Experience in the UAE or GCC job market is a distinct advantage.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of electronic filing and archiving systems.
  • Personal Skills:
    • Excellent written and verbal communication skills in both Arabic and English (often a core requirement).
    • High level of organization and accuracy with strong attention to detail.
    • Ability to manage priorities and work under pressure while maintaining composure.
    • Proactive attitude and ability to work independently or as part of a team.
