Technical Records Coordinator - Oman

Job Description & Key Responsibilities

The successful candidate will be entrusted with a range of vital responsibilities focused on organization and accuracy, including:

  • Technical Records Management: Overseeing the lifecycle of technical records and documents, including engineering drawings, calibration certificates, maintenance reports, data books, and compliance logs.
  • Organization & Classification: Applying and implementing logical, easy-to-track classification and indexing systems for all technical documents, whether paper-based or digital.
  • Ensuring Accuracy & Completeness: Reviewing incoming records to verify their validity, completeness, and adherence to specified standards before entry or archiving.
  • Digitization & Archiving: Contributing to initiatives to convert paper records into digital format and managing Electronic Document Management Systems (EDMS) to ensure secure storage and rapid retrieval.
  • Access & Control: Facilitating document borrowing and retrieval processes, ensuring access control policies are applied to protect sensitive information.
  • Supporting Audit & Compliance Processes: Providing required records promptly and efficiently during internal/external audits, investigations, or regulatory reviews.
  • Updates & Maintenance: Keeping databases and indexes regularly updated and managing the disposal of obsolete records according to established policies and regulations.
  • Collaboration: Working closely with technical, administrative, and quality departments to understand their needs and provide necessary document management support.

Qualifications & Core Requirements

To be a successful candidate for this opportunity, you should meet the following criteria:

  • Educational Qualification: A diploma or bachelor's degree in a relevant field such as Office Administration, Information Management, or Archival Science. Formal education may be substituted with extensive proven experience.
  • Work Experience: Proven experience of at least 2-3 years in a similar role such as Records Management, Document Control, or Administrative support within a technical or engineering environment.
  • Technical Skills: Strong proficiency in Microsoft Office Suite (especially Excel). Experience with Electronic Document Management Systems (e.g., SharePoint, OpenText, or other specialized systems) will be a significant advantage.
  • Soft Skills:
    • Accuracy & Attention to Detail: Exceptional ability to spot errors and maintain high levels of accuracy.
    • Organization: Excellent organizational skills to manage large volumes of information systematically.
    • Communication: Good written and verbal communication skills in both Arabic and English.
