Job Overview

The Document Controller will be integrated into a project or operations support team, playing a pivotal role in ensuring the accuracy, efficiency, and security of document flow. Document management is a cornerstone for the success of major engineering and service projects undertaken by the company, making this a strategically important function.

Key Responsibilities and Duties

The successful candidate will be entrusted with a range of critical tasks, including but not limited to:

  • Receiving, indexing, and distributing all incoming and outgoing project/operations-related documents (drawings, reports, contracts, correspondence, specifications).
  • Ensuring compliance with the company's internal document management standards and any applicable industry or governmental standards in Oman.
  • Accurately and timely entering and updating data within Electronic Document Management Systems (EDMS).
  • Monitoring and managing document workflow, ensuring necessary approvals are obtained from relevant parties.
  • Maintaining an organized and easily retrievable archive for both electronic and hard-copy documents according to storage and retention policies.
  • Preparing periodic reports on document status, pending documents, and any process gaps.
  • Working closely with project managers, engineers, contractors, and suppliers to fulfill their documentation needs.
  • Ensuring the confidentiality and security of sensitive information.

Required Qualifications and Skills

To be a successful candidate for this role, you should meet the following criteria:

Educational Background and Experience:

  • A Diploma or Bachelor's degree in Business Administration, Office Management, Engineering, or a related field.
  • Proven work experience of at least 2-3 years in a similar role (Document Controller, Archivist) within an engineering, construction, or industrial project environment. Experience in the utilities or environmental sector is a strong advantage.
  • Good knowledge of Electronic Document Management Systems (e.g., Aconex, Documentum, ProjectWise, or similar) and Microsoft Office suite.

Personal and Professional Skills:

  • Accuracy and Attention to Detail: Ability to handle high volumes of information with minimal errors.
  • Organization and Methodical Approach: Exceptional organizational skills to manage a multi-faceted archive.
  • Strong Communication Skills: (Arabic/English) to interact effectively with diverse teams.
  • Ability to Work Under Pressure: and meet deadlines in a fast-paced project environment.
  • Good Understanding of Document Quality Control procedures.
  • Ability to work collaboratively within a team as well as independently.
