Job Description & Key Responsibilities

The Patient Admin Executive will serve as the primary front-line interface for our patients, responsible for ensuring a smooth and positive experience from the moment they enter our healthcare facility. The core responsibilities of this role include:

  • Patient Reception & Greeting: Providing a welcoming, courteous, and professional greeting to all patients and visitors, creating a positive first impression of the facility.
  • Managing Registration & Admission Processes: Accurately processing new and walk-in patient registrations, updating vital demographic and medical records, and verifying required documents such as identification and insurance details.
  • Coordination with Medical Teams: Acting as an effective liaison between patients, doctors, nurses, and diagnostic departments to ensure seamless information flow and appointment orchestration.
  • Scheduling & Appointment Management: Scheduling, rescheduling, and managing appointments using the hospital's computer system, aiming to minimize wait times and optimize clinic efficiency.
  • Initial Financial Handling: Explaining costs to patients, collecting cash payments, processing preliminary insurance claims, and generating invoices as per established policies.
  • Support & Problem Resolution: Responding to patient inquiries via phone and in person, addressing any administrative complaints or concerns in a courteous and effective manner.
  • Compliance & Confidentiality: Ensuring strict adherence to patient data privacy and confidentiality policies (such as HIPAA-equivalent regulations) and all local health authority regulations in Dubai.

Qualifications & Requirements

To be a successful candidate for this role, you should meet the following criteria:

  • Educational Qualification: A Diploma or Bachelor's degree in Administration, Business Management, or a related field. Candidates with qualifications or courses in Healthcare/Medical Administration will be preferred.
  • Experience: Proven prior experience of 1-3 years in a front-office administrative role, preferably within a healthcare, hospital, or clinic environment in the UAE. Knowledge of a Hospital Information System (HIS) is a significant advantage.
  • Personal Skills:
    • Exceptional communication and interpersonal skills in both English and Arabic (required).
    • A friendly, customer-oriented personality with the ability to handle patients who may be under stress.
    • Excellent organizational and time-management skills with the ability to multitask in a fast-paced environment.
    • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook).
    • Attention to detail and accuracy in data entry and processing.
    • Integrity and the ability to handle sensitive information with utmost confidentiality.
