Personal Assistant to CEO - Brunel Oil and Gas Services, Qatar

Brunel Oil and Gas Services WLL is currently recruiting for a Personal Assistant to the Chief Executive Officer (CEO) to be based in their offices in Doha, Qatar. This position represents a critical and dynamic role within a leading provider of services to the vital oil and gas sector in the Gulf region.

Job Description and Key Responsibilities

The successful candidate will provide comprehensive, direct executive administrative support to the company's CEO. Acting as a central point of contact, the role demands a high level of professionalism and discretion. Core expected responsibilities include:

  • Diary and Schedule Management: Efficiently coordinating and organizing the CEO's appointments, meetings, and complex travel itineraries (domestic and international).
  • Communication Handling: Managing the CEO's phone lines and email correspondence, responding to inquiries, filtering information, and ensuring urgent and important matters are addressed promptly.
  • Meeting and Logistics Coordination: Preparing for executive and board meetings, including venue setup, agenda preparation, minute-taking, and ensuring all necessary documents are available. This also involves coordinating logistics for visits and delegations.
  • Report and Presentation Preparation: Assisting in the preparation, formatting, and coordination of management reports, key presentations, and meeting documents with precision and professionalism.
  • Confidentiality and Discretion: Handling highly sensitive and confidential information with the utmost integrity, confidentiality, and professional ethics.
  • General Executive Support: Performing varied administrative tasks and following up on action items assigned by the CEO to ensure seamless workflow.

Qualifications and Essential Requirements

To be a successful candidate for this opportunity, you should meet the following criteria:

  • Educational Background: A university degree (Bachelor's) in Business Administration, Office Management, or a related field.
  • Work Experience: Proven experience of at least 5 years in an Executive Assistant or Personal Assistant role supporting C-Level management. Preference will be given to candidates with experience in the oil and gas, engineering, or large corporate services sectors.
  • Technical Skills: Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Knowledge of document management systems is an added advantage.
  • Personal Skills:
    • Exceptional verbal and written communication skills in both Arabic and English (essential requirement).
    • Superb organizational and time-management skills with meticulous attention to detail.
    • Ability to work under pressure, meet challenges, and maintain composure.
    • Strong analytical skills and a proactive approach to problem-solving.
    • A personable and tactful demeanor with the ability to build positive working relationships at all levels, both internally and externally.
  • Personal Attributes: The candidate must be highly reliable, flexible, and able to work autonomously, with a steadfast commitment to confidentiality.
